Sourcing workflow

Keep repeat beauty orders consistent

Start with a defined buying question

A repeat order needs a reference, not just a request for the same item. Include the previous specification version, approved sample reference and component list. Confirm whether any material, tooling, finish or packaging source has changed. A supplier may understand the product name differently after staff or component availability changes.

Compare a repeat-order sample with the retained reference under the same conditions. Pay attention to small changes that affect the customer experience, such as colour, sponge feel, brush head shape, zipper travel or pump action. Record the comparison and approve changes deliberately. If your previous shipment had recurring defects, include the corrective action in the new order rather than relying on memory.

Review quantities, packaging and delivery requirements for each reorder. Selling patterns may justify fewer colours or a different carton arrangement, but those changes should be documented. Maintain a simple version history with order dates, approved changes and inspection findings. Consistency comes from a shared reference and controlled changes, not from assuming that an established supplier never needs a fresh confirmation.

Inquiry checklist

A decision record you can reuse

Create a one-page record with the selected configuration, open questions, evidence received and next action. Ask the supplier to correct misunderstandings before you approve a sample or purchase order. Keep photographs, quotations and written confirmations with that record so that another person can understand why you made the choice. If an important detail is unresolved, request clarification instead of quietly turning it into an assumption.

Use this guide as a purchasing framework, not as a claim that a listed manufacturer has passed these checks. Custom-OEM profiles organize public supplier information; buyers should confirm current specifications and commercial terms directly with the manufacturer. A clear brief and documented sample comparison make the next conversation more useful than an unspecific request for the best price.
