Sourcing workflow
Build a fair beauty supplier comparison sheet
Start with a defined buying question
A supplier comparison works only when the requests are consistent. Send the same specification, quantities and destination assumptions to every candidate. Give each quotation a version number and record the date. If a supplier proposes an alternative, place it in a separate row rather than treating it as the same product at a lower price.
Separate evidence from claims. A listing, certificate image or factory photograph can help you decide what to ask next, but it is not a substitute for confirming the relevant scope and identity. Record who provided each item and which product or site it concerns. An unavailable document should remain a gap in the comparison rather than being converted into an assumed positive result.
Use a weighted matrix for factors such as specification match, sample performance, total cost, communication and delivery planning. Do not give the cheapest unit price all the weight. A clear response that identifies a limitation may be more useful than a broad promise. Shortlist a manageable number of candidates and compare samples before increasing the commitment.
Inquiry checklist
- Send one specification and quantity table to all candidates.
- Separate alternatives from matching quotations.
- Record evidence source and date.
- Weight sample results and delivery planning alongside cost.
- Keep missing information visible in the decision sheet.
A decision record you can reuse
Create a one-page record with the selected configuration, open questions, evidence received and next action. Ask the supplier to correct misunderstandings before you approve a sample or purchase order. Keep photographs, quotations and written confirmations with that record so that another person can understand why you made the choice. If an important detail is unresolved, request clarification instead of quietly turning it into an assumption.
Use this guide as a purchasing framework, not as a claim that a listed manufacturer has passed these checks. Custom-OEM profiles organize public supplier information; buyers should confirm current specifications and commercial terms directly with the manufacturer. A clear brief and documented sample comparison make the next conversation more useful than an unspecific request for the best price.
